Information

Among the instruments of a COST Action are Short Term Scientific Missions (STSMs).
According to the COST H2020 Vademecum, these are “aimed at supporting individual mobility and at strengthening the existing networks and fostering collaborations by allowing scientists to visit an institution or laboratory ….. A STSM should specifically contribute to the scientific objectives of the COST Action, while at the same time allowing applicants to learn new techniques or gain access to specific instruments and/or methods not available in their own institutions”

An STSM grant is a fixed financial contribution which takes into consideration the budget request of the applicant and the outcome of the evaluation of the STSM application as determined by the Action Chair, Vice Chair and the STSM Coordinator. STSM Grants do not necessarily cover all expenses related to performing a given mission. The Grant is a contribution to the overall travel, accommodation and meal expenses of the Grantee.

During this Grand Period (1st May 2017 -  30th April 2018) IPEMA will support 6 STSM (a maximum EUR 2 500 in total can be afforded to the grantee) with a minimum duration of 5 working days up to a maximum of 90 working days in accordance to the MC approval for the agreed budget of the Action. In some circumstances a longer STSM, up to 180 days, may be agreed to an ESR (Early Stage Researcher = ECI - Early Career Investigator), according to specific COST regulations. The financial support is a contribution to the costs of a STSM and may not necessarily cover all the costs in each case. The grant should normally cover only travel and subsistence. The calculation of the contribution for a STSM is based on the following rules:  

  • A daily allowance can be afforded for accommodation and meal expenses. The allowance per day depends on the host country
  • A maximum EUR 2 500 in total can be afforded to the grantee in this Action.
  • STSM need to be carried out in their entirety within a single Grant Period (after 1st May of year n and before 28th February of year n+1) and always within the Action’s lifetime.  

The calculation of the contribution for an ESR STSM (a duration of more than 91 days and less than 180 days) is based on the same rules as above, with the exception that a maximum EUR 3 500 in total can be afforded to the grantee in this Action. 

Participants must pay all costs up front and are reimbursed after the visit.
Reimbursement is subject to the production of a report to be sent within 2 weeks after completion of the STSM, before the end of March

How to Apply?

Did you check whether you may apply?

You are responsible for obtaining the agreement of the host institution, before submitting your application. You must use the on-line application form to register your request for an STSM.

Application deadlines

You may apply whenever you want. However, make sure you apply on time to be able to complete your STSM before 28th February 2018.

Your report must be sent before the end of March 2018.

STSMs occuring after 28th February 2018 will not be supported within this Grant Period (May 2017-April 2018). Depending on the available resources, they may be supported within the next Grant Period (May 2018-April 2019) 

 

How to become a Host Institution?

Do you want to offer an exciting opportunity for a postgraduate, researcher or employee from another institution involved in IPEMA to visit your institution as part of the Action’s Short Term Scientific Missions programme?

Did you check whether you may be a Host Institution?

There is no financial contribution available for the host institution.

Please use the on-line Host Institution Proposal Form as early as possible to suggest becoming a host institution for a STSM.

The STSM co-ordinator will keep details of the proposed STSMs and make these available to potential applicants. Alternatively, potential hosts and applicants can contact one another directly to discuss applying for an STSM.

 

Who decides which applications will be supported?

The IPEMA Management Committee has delegated responsibility for the review of STSMs to the following group of people

  • The STSM coordinator
  • The chair of IPEMA
  • The Vice Chair of IPEMA
  • The leader of the Working Group most concerned by the application

The above mentioned-group will review the applications and rank them if necessary, according to the specified criteria:

Successful applicants will receive a Grant letter, confirming approval and indicating the level of the financial grant given.The successful Host will also be informed of the successful application.

 

Payment is made after due reporting

Within 2 weeks after the STSM has been completed, the Grantee must submit a scientific report to the appointed STSM Coordinator and to the the Host institution.
Payment of the Grant is subject to the scientific report being approved by the the appointed STSM Coordinator and a senior researcher affiliated to the Host institution.

Please be aware that the report must be approved before the end of March following the end of the STSM, in order that the payment can be made before the end of the Grant Period when the STSM occured (30th April)

STSM APPLICATION FORM

STSM Details

The minimum duration for a STSM is 5 days, maximum duration is 90 days.
Maximum duration can be extended to 180 days if you are an ESR (Early Stage Researcher) / ECI (Early career Investigator) = A researcher within a time span of up to 8 years from the date you obtained your PhD/doctorate (full-time equivalent).

Financial Details
